TeamPass Privacy Policy

This policy explains how ME MORE COOL PTY. LTD. (ABN 45 611 538 697), trading as memorecool, handles personal information in TeamPass. We handle personal information in line with the Australian Privacy Principles.

1. Passwords and shared sign-ins

TeamPass never sees or stores the password of a tool you share. When an admin signs in to a tool inside TeamPass, the app keeps the resulting signed-in session (the tool's cookies) and encrypts it on the admin's computer separately for each member device that may use it, with a key that exists only on that device. Our servers store only these encrypted copies and cannot decrypt them. Revoking access deletes the copies for that person or device.

2. What we collect

  • Account: your email address, and the name and time zone you choose to add.
  • Workspace: its name, members and their roles, invitations, the tools added (name, web address and the sites they may use), who may use which tool, and settings.
  • Devices: each computer's public encryption key and a label (its computer name).
  • Activity in shared tools: which tool was opened, by whom, from which device, when sessions started and ended, the addresses of pages visited — without the part after "?" — and page titles; blocked pages; files downloaded where an admin allowed downloads (file name and site); and the times TeamPass was open.
  • Selected desktop apps, only if an admin turns this on: how long each app the admin listed was the app in front. Only those apps are reported; the names of other apps never leave your computer.
  • Support and billing: messages you send us, and for paid workspaces the billing details Stripe returns to us (customer reference, invoices, amounts and status, company name and tax ID if you add them).

3. What we never collect

No screenshots or screen recordings. No keystrokes. No contents of pages or of your files. No browsing outside shared tools. No other apps, unless an admin has listed them, and then only time in front. No card numbers — those go straight to Stripe.

4. Who can see it

Workspace owners and admins (and members an admin has given an audit or activity permission) can see the activity of their own workspace. Members can see their own sessions. People in other workspaces cannot see anything about yours. memorecool staff access workspace data only to provide support you ask for, to keep the service secure, or where the law requires.

5. Where it is kept, and service providers

TeamPass data is stored on our servers in Sydney, Australia. We use these providers, who handle data only to provide their service to us:

  • Stripe — payments and invoices for paid workspaces (may process data outside Australia, including the United States).
  • Resend — sending sign-in codes, invitations and support emails (United States).
  • Cloudflare — secure network connection between the app and our servers.

We do not sell personal information and do not use it for advertising.

6. How long we keep it

Notifications are deleted after 90 days. Activity records and the audit log are kept while the workspace exists, so admins can review them; an owner can export them. When an owner asks us to delete a workspace, or you ask us to delete your account, we delete the data, except billing records we must keep under tax law.

7. Your choices and rights

You can see and correct your name and time zone in TeamPass, and ask us for a copy of, or the deletion of, your personal information. If your access to TeamPass comes from an employer or another organisation, they control their workspace and may need to act on your request; we will help them. To make a request or a complaint, email support@memorecool.au. If you are not satisfied with our answer, you can contact the Office of the Australian Information Commissioner (oaic.gov.au).

8. Security

Sign-in is by one-time email code, so there is no TeamPass password to steal. Shared sessions are encrypted per device as described above; data travels over encrypted connections; access inside workspaces is enforced on our servers, not only in the app. No system is perfectly secure; if a breach is likely to cause serious harm we will notify you and the OAIC as the law requires.

9. Changes

We may update this policy; the date above will change, and we will tell workspace owners about material changes.
