memorecool is operated by ME MORE COOL PTY. LTD. (ABN 45 611 538 697) ("we", "us"), which builds the AU Invoice app and this website. We take your privacy seriously and keep things simple: we collect only what the app needs to work, we never sell your data, and we never use it for advertising. This policy explains what we collect, why, and the choices you have.
We do not collect your contacts, photos, precise location, or advertising identifiers.
We do not use your information for advertising, and we do not sell or rent it to anyone.
We use a small number of trusted providers to run the app. They process data only to provide their service to us:
Each provider maintains its own security and privacy practices. Payment card details are handled entirely by Apple; we never see or store them.
Your data is stored on secure cloud infrastructure provided by Google Firebase and may be processed on servers located outside Australia. We rely on providers that apply industry-standard security safeguards.
We keep your data for as long as your account is active. You are always in control:
Delete your account & data: open AU Invoice and go to Settings → Delete Account. This permanently removes your account and associated data from our systems. You can also email support@memorecool.au and we'll take care of it.
Access to your data requires signing in to your account. Data is transmitted over encrypted connections and stored using reputable, access-controlled infrastructure. No system is perfectly secure, but we work to protect your information and to limit what we collect in the first place.
AU Invoice is a business tool intended for adults. It is not directed to children and we do not knowingly collect information from anyone under 16.
You may access, correct, export or delete your data at any time from within the app, or by contacting us. We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth).
If you run payroll, you enter information about your employees. Those employees are not our users — you are. You hold that information as their employer, and you are responsible for having a lawful basis to collect it and for telling them how it is handled. We process it for you, to do the job you asked for.
A tax file number is encrypted with a key held in Google Cloud Key Management Service in Sydney before it is stored, and can only be decrypted inside our server functions in that same region. It is never written to any document the app can read, never written to a log, and never included in an error message. The app keeps only the last three digits — not even the account owner can read a stored tax file number back out of the app. The one place the full number is ever decrypted is inside the function that builds a report for the ATO, and it goes from there into that report and nowhere else.
When you make a declaration and lodge a pay event, we build the Single Touch Payroll report the ATO requires and send it through OZEDI, a sending service provider registered with the ATO for this purpose. OZEDI transmit the report to the ATO on your behalf and do not use it for anything else. The report contains your business details and, for each employee, the information above including their tax file number — that is what the ATO require. The declaration is yours: nothing is lodged without you signing it in the app, and nothing is lodged twice.
Deleting your account erases employee records, pay runs, pay events, the encrypted tax file numbers and the lodged report payloads. Because they are erased, export what you need first — an employer has record-keeping obligations to the ATO that outlast the app, and we will not be holding a copy. Deleting your account does not withdraw a report already lodged; the ATO keep what they were sent.
No part of the payroll calculation, the classification of a payment, or the lodgment of a report uses artificial intelligence. Payroll data, employee data and tax file numbers are never sent to any AI or machine-learning service, by us or on our behalf. This is a written commitment we have given the ATO as a registered Digital Service Provider, and a design constraint in the software rather than a policy applied by hand.
ME MORE COOL PTY. LTD. is registered with the ATO as a Digital Service Provider for Single Touch Payroll reporting, and operates under the ATO's Operational Security Framework.
We may update this policy from time to time. When we do, we'll revise the "last updated" date above and, for material changes, notify you in the app.
